Add-ons and accounting sync: the costs after the plan price
Updated
The plan price is where comparison starts and rarely where the bill ends. In this category the add-on that catches electrical contractors most often is not glamorous: it is the accounting sync, and which version of QuickBooks your bookkeeper runs can change both the tier and the vendor you should buy.
The QuickBooks trap
Kickserv includes QuickBooks Online on its cheapest Start plan and charges $50 a month extra for QuickBooks Desktop. That add-on is close to the entire cost of the plan, so a Desktop shop is really looking at $110 a month, not $60.
Housecall Pro puts QuickBooks Online sync on Essentials at $149 a month, not on Basic at $59. If the sync is the reason you are buying software at all, Basic is not a real option and the honest entry price for that vendor is $149.
Neither of these is hidden. Both are simply below the fold on a pricing page, which is where comparison tables stop reading.
What else is metered
ServiceM8's free tier charges 10c per SMS, while every paid plan includes SMS free, and its phone add-on starts from $19 a month with a one month free trial. Premium Plus charges 20c per job beyond its allotment.
Housecall Pro's MAX tier includes a sales proposal tool it values at $40 a month, which is a useful disclosure: it tells you the tool is sold separately elsewhere in the market and roughly what it is worth.
FieldPulse lists a set of add-ons priced per line or per license, including Operator AI, Pricebook, Payments, Financing, Fleet Tracking and Custom Forms, without publishing a figure for any of them.
Payment processing is the quiet one
Kickserv publishes a Kickback programme giving 5% off monthly fees for processing a minimum of $1,000 to $3,000 in online payments depending on plan. That is a discount pointing at where the real revenue is: card processing, whose rate is not on any of these pricing pages.
Before signing anywhere, ask for the card processing rate in writing and compare it to what you pay now. On a firm turning over meaningful volume, a half point difference in processing outweighs the entire software subscription.
Build the real number
Add four things to the plan price: the accounting sync at your version, the payment processing difference against your current provider, any per job or per SMS overage at your actual volume, and the annual versus monthly gap.
Housecall Pro and Kickserv both price annual billing meaningfully below monthly, $20 to $40 a month and 20% respectively. Take the discount at renewal rather than at signup, once you know the thing works.
